How to reschedule or cancel a case

Three different things live under Case Actions on the case page, and picking the wrong one is easy. This article is mostly about telling them apart.

  • Change Time — same date, different hour.
  • Reschedule Case — a different date, moved into one of your open slots.
  • Take off Calendar — the mediation isn't happening. Everything is kept.

Change the start time

Use this when a party wants the same day at a different hour, particularly an hour you don't publish. If your morning slot starts at 10:00, a 9:00 start isn't reachable through Reschedule because there's no 9:00 slot to move into.

1. Case Actions → Change Time. 2. Set the hour and minute. Any time is allowed; there's no snapping to your published starts. 3. Decide whether to tick notify the parties. It's off by default and resets to off every time you open the dialog. 4. Save.

What moves: the case's start time, the Zoom meeting, and your Google Calendar event.

What doesn't: your availability slot, which keeps its published time. That's intentional — reminders, Zoom and the portal all read the case, not the slot.

Emails only go out if you tick the box, and only to the parties. You aren't emailed about your own change. You can't change the time of a cancelled case.

Reschedule to a different date

1. Case Actions → Reschedule Case. 2. Pick a date on the calendar in the dialog. Only your open dates are selectable, so open the date first if it isn't showing — see How your schedule works. 3. Pick a slot and click Reschedule.

The slots you're offered depend on what the case is booked as. A half-day case is offered morning and afternoon only. A full-day case is offered all three.

Rescheduling emails every party and sends you a confirmation. The Zoom meeting is moved to the new date, or created if the case never had one. Reminders are recalculated against the new date.

Rescheduling a case you previously cancelled brings it back: the dialog warns you that parties will be emailed and notifications will restart.

The fee doesn't change and the invoices aren't touched.

Take a case off the calendar

1. Case Actions → Take off Calendar. 2. Read the confirmation and click Yes.

This marks the case cancelled, releases the date back to your available slots, deletes the Google and Outlook calendar entries, and emails the parties to say the mediation has been taken off the calendar. Documents stay on the case, so you can reschedule later.

The Zoom meeting is also left in place. If you want it gone from your Zoom account, delete it there.
